1.  ACCREDITATION

Access to media facilities will be available only to accredited media representatives. Accreditation is open to bona fide journalists, broadcasters, photographers, film and television camera crews and technicians. Applications for accreditation should be made on the attached form or on photocopies made from it.

 

It is necessary for journalists to send their application forms (See attached accreditation form), to both the African Union Commission and to the Ugandan side (www.auspecialsummitkampala.ug) by 30 September 2009 to facilitate processing of conference badges.

 

Applications must be accompanied by a passport photograph not older than six months and a letter on a letterhead from your organization indicating your function. The letter should be signed by a senior executive confirming that the applicant has been assigned to cover the Special Summit of Heads of State and Government of the African Union (AU) on Refugees, Returnees and Internally Displaced Persons in Africa and should be supported by a copy of a National Press Card or equivalent identification.

 

The application form and the photographs shall be scanned and sent by e-mail or by mail or submitted by hand (sending photographs by fax is unacceptable).

Journalists are advised of the following procedures to facilitate entrance into the Summit:

After arrival in Kampala, journalists will need to get the official government security badge. These badges will be issued at a place to be communicated subsequently.

After the official security badge, journalists will then be eligible to be given the AU conference badge. No AU conference badge will be issued without the security badge and both badges are necessary for the meeting.

 

As there is usually pressure to get into the meeting halls on the actual day, journalists are advised to make sure they arrive in Kampala in good time so as to have the documentation done before the meetings start.

 

Journalists are also advised to send their application forms and all required documents well in advance of the deadline so that the necessary conference badges can be prepared before arrival.

It is also advisable to carry with you hard copies of all the required documents.

2. CUSTOMS CLEARANCE

 

Accredited media personnel bringing technical equipment with them to Ethiopia will be subject to full Customs Control.  Therefore, kindly send your list of equipment (two copies) together with your application for accreditation. (See attached equipment form)

 

Journalists should provide evidence that they are traveling to Uganda to cover the AU Summit and also be able to supply the Ugandan Customs Authorities with a detailed inventory of their equipment, including serial numbers and value.

 

For further details regarding customs, contact your nearest Ugnadan Diplomatic or Consular Mission.

 

3.         MEDIA FACILITIES

Media Centers will be located at Speke Resort Munyonyo where the Summit will take place.

 

A general work area will be provided in the Media Center. 

 

The work area will be equipped with work desks, which will have standard Ugandan power points (UK standard, 220-240, Three pin square plugs) where laptops and printers can be plugged in. PCs with Microsoft Windows packages plus printers (Apple-Mac compatible) will also be available.

 

The PC’s will provide free Internet access and will share printers.

 

4.         Media briefings

Briefings will take place in the Media Briefing Room. Journalists will be given advance notice of the briefing time and speakers.

 

5.         Telephones and faxes

Telephone and fax facilities will be provided on a commercial basis.

 

6.         TELEVISION AND RADIO

Facilities for live transmission are available in the plenary hall during the opening and closing sessions of the Summit from October 22 to 23, 2009. Early booking for this is required. Please contact Mr. Ssubi Kiwanuka.

 

7.         PRESS COVERAGE AND PHOTO POOLS

Opening and Closing Sessions during the meetings are open to all journalists.

 

8.         ACCOMMODATION

Accommodation will be on self-arrangement basis. It is advisable to make your booking early to avoid last minute inconveniences.

 

9.         ARRIVAL/FLIGHT SCHEDULE

International flights to Kampala arrive at Entebbe International Airport.

 

A Shuttle Bus service will be available at the Airport to take journalists to their hotels and to and from the venue.

 

Taxis are available from the Airport to Hotels at journalists’ own cost.

 

Help desk is open at Entebbe International Airport 24 hrs a day.

 

11.       PASSPORTS AND VISAS

Members of the media from those countries exempted from visa requirements to Uganda need not apply for visas.

All other applicants must comply with the Ugandan visa requirements. (See attached visa form)

Accredited journalists will obtain a free visa at their arrival to Entebbe International Airport.

 

12.       HEALTH REQUIREMENTS

Journalists are advised to carry an up to date International Certificate of Vaccination.
